Description

  • Billing & Invoicing: Manage AIA lump sum contract billing within Spectrum ERP, including creating and posting invoices, change orders, schedules of values, and managing lien waivers.
  • Collections & Cash Flow: Assist in managing cash flow by posting payments, optimizing overbillings, and supporting collections efforts.
  • Collaboration with Project Management: Work closely with project managers to identify billing opportunities, resolve issues, and ensure that client billing requirements are met.
  • Sales Journal & Monthly Closing: Assist with monthly sales journal closing, ensuring all deadlines are met and financial data is accurate.
  • Process Improvement: Identify and implement process improvements in billing, collections, and cash flow optimization.
  • Systems Expertise: Learn and utilize FabSuite for material billing and reporting. Become a subject matter expert in Spectrum ERP to support the team and recommend process improvements.
  • Change Order Management: Coordinate with the Cost Accounting Manager to ensure change orders are updated and reflected accurately in Spectrum ERP.
  • Customer Relationship Management: Maintain positive relationships with customers, ensuring clear communication and prompt resolution of any billing inquiries.
  • Cross-Departmental Communication: Collaborate effectively with internal teams to ensure accurate financial reporting and smooth project execution.

Requirements

  • Experience: Minimum of 2 years of experience in accounting, with a focus on accounts receivable, billing, and collections.
  • Experience with Spectrum ERP is highly preferred.
  • Familiarity with third-party billing systems is a plus.
  • Experience with FabSuite is a bonus, or the willingness to learn.

Skills & Qualifications:

  • Strong understanding of billing processes, cash flow management, and collections.
  • Proven ability to identify and implement process improvements in accounting workflows.
  • Highly collaborative with excellent communication skills to work closely with project managers and internal teams.
  • Strong attention to detail and organizational skills.
  • Ability to adapt to new systems and processes with a willingness to learn.
  • Proficient in Microsoft Excel and other accounting software.
