Summary:

The Operations Assistant/Specialist supports the daily operational activities of the company, ensuring smooth and efficient workflows in equipment rentals, dispatch, logistics, and customer interactions. They play a critical role in maintaining the company’s reputation for reliability and excellence in service.

**Equipment Coordination:**

  • Schedule and dispatch heavy equipment for rentals in coordination with customers and drivers/operators.
  • Maintain an updated log of active rentals, availability, and return schedules to minimize equipment downtime.


**Customer Support:**

  • Address customer inquiries regarding equipment specifications, availability, and pricing.
  • Assist in resolving operational concerns, such as delivery delays or equipment issues, in a timely and professional manner.


**Inventory and Maintenance Oversight:**

  • Monitor the inventory of heavy equipment, parts, and tools to ensure availability for client needs.
  • Track equipment usage and schedule preventive maintenance or repairs, liaising with mechanics and technicians.


**Logistics Management:**

  • Plan delivery routes for equipment transport, considering cost-efficiency and timeliness.
  • Ensure the required permits, documents, and safety protocols for equipment transport are adhered to.


**Record-Keeping and Reporting:**

  • Maintain accurate records of contracts, invoices, rental agreements, and customer data.
  • Prepare daily, weekly, and monthly operational performance reports for management review.


**Compliance and Safety:**

  • Enforce compliance with company policies, industry standards, and government regulations, such as load limits and safety practices.
  • Conduct regular inspections to ensure all dispatched equipment meets safety requirements.


**Process Improvement:**

  • Identify and propose strategies to streamline operations and enhance customer satisfaction.
  • Collaborate with the team to implement more effective workflows and resource management systems.


**Work Environment:**

  • Office-based with occasional site visits to monitor equipment, clients, or projects.
  • Frequent coordination with drivers, operators, mechanics, and clients.

Requirements

**Education:**

  • Bachelor’s degree in Business Administration, Operations Management, Logistics, or a related field preferred.


**Experience:**

  • Previous experience in logistics, operations, or heavy equipment rental businesses is advantageous.


**Skills:**

**Organizational Skills:** Manage multiple priorities in a fast-paced environment.

**Technical Knowledge:** Basic understanding of heavy equipment, including specifications and maintenance needs.

**Software Proficiency:** Familiarity with MS Office (Excel, Word) and ERP systems for operations management.

**Communication Skills:** Strong verbal and written communication in both English and Filipino; Bisaya fluency is a plus.

**Problem-Solving Abilities:** Quickly address and resolve operational challenges.

**Attention to Detail:** Ensure accuracy in records, contracts, and equipment inspections.
